Using SelectWiser responsibly

Audience: Employers and recruitment teams using SelectWiser
1. What SelectWiser is (and is not)
SelectWiser is a decision-support platform. It can analyse application documents and give scores and signals, but:
- SelectWiser takes no decisions about inviting, rejecting or hiring.
- Your organisation remains responsible for human assessment and for the final decision.
2. Roles under the GDPR (who is responsible for what?)

For limited data (account, invoicing, security logs) SelectWiser may itself be the controller. See the Privacy Statement.
In practice: Candidates wanting to exercise privacy rights about their application should as a rule come to you. SelectWiser supports where it can.
3. Informing candidates (transparency)
Make sure candidates know at least the following before or while they apply:
- Which data you process (CV, cover letter and metadata)
- That AI analysis is used, optionally
- That AI only supports the process and that human assessment takes place
- Retention periods (for example 4 weeks by default, 12 months for a talent pool with consent)
- How they can exercise their rights (access, erasure, objection)
Tip: In your vacancy or application flow, link to your own privacy text and to the SelectWiser Privacy Statement and AI Governance.
4. AI analysis is optional (no disadvantage for saying no)
If you offer AI analysis, make sure that:
- The choice is freely made, with no pressure
- Candidates who decline AI analysis are not disadvantaged (Article 7(4) GDPR)
- The procedure runs normally without AI as well
In SelectWiser: Candidates without AI consent are not pushed to the bottom when sorting by score. They appear in a separate "Review manually" section.
5. Human assessment (Article 22 GDPR)
You may not take decisions based solely on automated processing where those decisions have a significant impact.
Approach:
- Always look at the CV, the cover letter and/or the analysis before a substantive rejection
- Record a short reason when rejecting
- Use AI scores and signals as input, not as the decision
SelectWiser guardrail: Closing a vacancy that still has unread candidates triggers a warning. Closing it anyway is logged for accountability.
6. Non-discrimination and fair use
Use AI output only on criteria that are relevant to the role.
Avoid:
- Selecting on, or being influenced by, protected characteristics
- Using proxies (such as a name or writing style) in place of relevance to the role
- Trusting scores blindly, without context
SelectWiser: The AI is instructed not to weigh sensitive characteristics. Even so, your assessment remains decisive.
7. Retention periods (guidance)

8. Candidates' rights (who does what?)

Arrange internally:
- An owner (a role)
- A mailbox for privacy requests
- A standard turnaround time (one month at most)
9. Incidents and data breaches
In the event of a possible data breach:
- Record internally what happened
- Take immediate measures (containment)
- Inform the responsible person where needed and follow your data breach procedure
As a processor, SelectWiser can supply information about scope and timeline.
10. Ready-made text for your candidate information
AI analysis (optional)
We may use an AI-supported analysis to make applications easier to review. It is intended to support our recruiters.
You can choose not to take part in AI analysis; this is no disadvantage to your application. The final assessment and decision is always made by people.
